What's the actual status?

Once your Smartsheet is connected, it can read a row and the mail around it, and tell you where they've drifted apart. That gap is usually the thing about to bite you.

Tracker says: RFI-118 still Open, assigned to the design team, raised three weeks ago.

Your mail says: the design team answered it last Thursday, in a reply to your own thread, with a revised layout attached. The tracker was never updated.

So: this is actually answered, the row is just stale. The revised layout is sitting in your inbox unactioned. Two things to do: pull the answer onto the tracker so it reads true, and get that layout to the electrician, who is waiting on it.

It works the other way too: a row marked Closed that a fresh email has quietly reopened, a due date that's slipped, an action sitting against the wrong person. The point is it catches the drift in both directions.

Why it matters

• The tracker is only as true as the last person who updated it. It goes stale constantly. Your mail is the live record.
• Stale-open hides finished work; stale-closed hides live work. Both bite. This is the one check that surfaces them before a meeting does.
• It's reading, not writing. It tells you what's out of step and drafts the fix. Updating the row or sending the mail stays your call.
